Booking your wedding venue is one of the biggest decisions you’ll make in the planning process. At Ivory Meadows, we know how important it is to find the right space and team to bring your vision to life. That’s why we’ve compiled answers to some of the most frequently asked questions couples have before reserving their big day with us.
How far in advance should I book my wedding at Ivory Meadows?
We recommend booking 12 to 18 months in advance, especially if you’re considering a popular spring or fall weekend date. That said, we occasionally have openings for shorter timelines and are happy to work with couples planning more quickly. The earlier you secure your date, the more flexibility you’ll have with vendors, guest accommodations, and overall planning.
How do I schedule a tour of the venue?
You can request a private tour directly through our website. Tours are scheduled by appointment so we can give you our full attention, walk you through the spaces, and answer your questions in detail. It’s the best way to experience the property and visualize your wedding day.
What wedding packages are available?
Ivory Meadows offers several packages, each designed to fit a range of needs and budgets. Our packages include essentials like access to our décor closet, full setup and teardown services, linens, and professional coordination support starting 75 days before your wedding. We also offer a Micro Wedding Package for celebrations with 30 guests or fewer. Each option is customizable with enhancements to suit your style and priorities.
Do your packages include a coordinator?
Yes. Every couple is paired with one of our in-house wedding coordinators. Starting 75 days before your event, your coordinator will assist with timeline development, vendor communication, layout planning, and day-of execution. Having a coordinator who knows the venue and our team ensures your day runs smoothly, so you can focus on celebrating.
Are décor items included in the packages?
Many of our packages include full access to the Ivory Meadows décor closet. This collection features items such as easels, candlesticks, signage, runners, and table numbers. Our team will handle all setup and teardown of these items, along with any additional personal décor you provide.
How many guests can Ivory Meadows accommodate?
Our venue is designed to be flexible. We can host intimate gatherings or large celebrations of up to 300 guests. Indoor and outdoor ceremony and reception spaces allow you to tailor the flow of your day to your guest count and preferences.
Can we use our own vendors?
Yes. Couples are welcome to bring in their own vendors, with the exception of bartending. We do require the use of our preferred bartending company to ensure proper licensing, insurance, and service standards. Your coordinator will help coordinate logistics with all chosen vendors.
Caterers MUST be licensed and insured by the Ohio Department of Health. If you do not choose a caterer from our preferred list, you must get approval from management prior to booking your caterer.
What happens if the weather changes?
Ivory Meadows offers indoor ceremony and reception options in case of rain or unexpected weather. Our team is experienced in managing transitions and can quickly adjust plans without disrupting your celebration.
Are there nearby accommodations for guests?
Yes. Ivory Meadows location offers a range of nearby lodging options, including the Ivory House by the Meadows—the charming, newly renovated Airbnb located directly across the road. Additional hotels, inns, and vacation rentals are available in Yellow Springs, Beavercreek, Springfield, and surrounding areas.
